POSITION DESCRIPTION:   Program Coordinator                

SUPERVISION:                         Development Director

JOB LOCATION:                      Canines for Service office/facility

HOURS:                                       Non-exempt, Full-time (40 hours per week)

 

OVERVIEW OF POSITION:  Working under the supervision of the Development Director, the Program Coordinator performs administrative duties necessary for the day-to-day operation of Canines for Service. The Program Coordinator works in close collaboration with the CEO, staff and key volunteers. The Program Coordinator must be capable of working independently and able to manage multiple initiatives involving administrative functions.

 

Assists the CEO, Development Director and Lead Trainer with the daily operations of the organization and maintains favorable public image for Canines for Service.

 

DUTIES AND RESPONSIBILITIES

Communication

  1. Responsible for telephone, email and walk-in inquiries with the public.

    1. Communicates accurate information in a timely manner.

    2. Follows up by mailing information to interested contacts after an event using the mailing list gathered at the event.

  2. Assists with correspondence related to contributions and donations.

  3. Updates the donor management database and newsletter mailing list. 

  4. Ensures files and correspondence are appropriately maintained in physical and electronic files.

  5. Identifies office supply needs and ensures orders are placed with approval.

 

Service Dog Program Support

  1. Under the direction of the Lead Trainer, maintain service dog records in the database for dogs in training and maintains paper and electronic file of service dog records.

  2. Obtains the vaccination records for partnered service dogs and maintains records in compliance with Assistance Dogs International (ADI) standards and local Animal Services requirements.

 

Canines for Therapy

  1. Processes certification packets for new and renewing Canines for Therapy teams; queues background verifications, completes letter of acceptance and identification card, mails the registration packet to the team and updates the electronic and physical files.

  2. Provides report of expiring Canines for Therapy teams, including notifying other sites that offer Canines for Therapy training.

  3. Prepares and sends expiration letters to Canines for Therapy teams not renewing, updates the database and closes the physical file- moving the persons’ file to Inactive Volunteers.

  4. Assists in scheduling upcoming renewals for Wilmington Canines for Therapy teams in coordination with Canine Operations Manager.

  5. Updates the database of Canines for Therapy volunteers with current data.

 

Volunteer Support

  1. Coordinates volunteer management for service dog related volunteers including:

    1. Communicates program information as needed.

    2. Engages volunteers to meet facility volunteer staffing needs.

    3. Ensures updated volunteer sign-up is printed daily on weekdays and each Friday for the forthcoming weekend.

    4. Ensures volunteer information is entered into the database, updated as needed and volunteer hours are recorded

    5. Updates Canines for Therapy team information as needed and record volunteer hours when received.

 

  1. Provides a variety of supportive services related to the service dog programs as directed by the CEO or Development Director

 

Knowledge, Skills and Abilities

  • Ability to communicate effectively both verbally and in writing with staff, volunteers, clients and the public. Excellent telephone demeanor.

  • Ability to operate standard office equipment including but not limited to computers, copiers and calculators.

  • Ability to follow oral and. written instructions.

  • Ability to work independently.

  • Must be computer literate. 

  • Detailed oriented.

  • Must be capable of lifting at least 40 pounds and handling a service dog in training.

  • Able to assist with community event preparation and delivery

 

MINIMUM QUALIFICATIONS

 

Applicants must have education, training and/or experience demonstrating competence in each of the following areas.

 

  • High school diploma or equivalent. College degree preferred.

  • Minimum of two years’ experience of varied and progressive office management responsibilities.

  • Proficiency in Microsoft Office Professional Software.
